A university's digital experience platform was being redesigned across five active workstreams at once. The biggest risk on this program was invisible to anyone outside the delivery team. The content components spread across more than 100 academic pages had no shared system, so design and copy kept drifting out of sync with every single handoff.
I mapped every reusable content component across the site and built a handoff system that gave design and copy teams a shared source of truth to work from. It was unglamorous work, mostly invisible to the client, but it meant delivery governance could run across all five workstreams without constant escalation every time something drifted.
The real test came midway through the six month timeline, when a scope change threatened to unravel the component mapping we had already built. Holding the line on the system, rather than letting individual teams patch around it on their own, is what kept the migration on pace instead of spiraling into rework.
Cross team rework dropped by 20 percent, measured across design to development handoffs, by standardizing the component mapping and delivery governance model across every workstream. The scalable template system this created accelerated the entire migration and gave the client a platform their own teams could maintain long after the program ended.
System design, once invisible to end users, must be deeply visible to internal delivery teams, and that's where the real PMO work lives.
