Assistant Secretary, Cultural and Arts Society

Event Coordination and Creative Programming · St. Xavier's University, Kolkata

The role nobody sees until something goes wrong.

The Cultural and Arts Society ran the creative life of the campus: festivals, literary evenings, performances, inter-college events. As Assistant Secretary, I was the person making sure the practical side of all of that actually happened.

That meant booking venues, chasing confirmations from performers, briefing student volunteers, coordinating with vendors for sound and staging, and keeping the Secretary and faculty advisor in the loop without pulling them into things they didn't need to weigh in on. A lot of it was unglamorous. Most of it was coordination that no one noticed when it went right.

What I actually learned.

Events rarely go to plan. Someone drops out, a room gets double-booked, a delivery is late. You figure out pretty quickly that staying calm and having a backup option ready is more useful than having a perfect plan. I got comfortable making calls with incomplete information and cleaning up the details later.

I also got my first real experience of managing upward. The Secretary and the faculty advisor both had opinions, sometimes conflicting ones. Learning to synthesise those, move forward, and not create unnecessary back-and-forth was something I carried directly into professional life.
